What it's for
Before this page, running a book review meant opening Churn Risk, then Service Expansion, then the weekly check-ins, then a finance spreadsheet, and holding it all in your head.
Portfolio Review puts one row per active client on a single screen and answers three questions at once:
Where is the money? Gross profit, MRR, past-due receivables and VABO per client.
Who needs attention now? A pre-calculated P1/P2/P3 priority tier, churn score, contract countdown, and this week's check-in.
Is anyone following up? A status chip tracking whether the assigned AD or GD has triaged the recommended actions.
It shows the active book only — churned clients are filtered out before the data reaches your browser.
What you'll see
A "Your week" strip at the top:
Today's calls — the top three P1 clients ranked by risk × retainer value
SE-ready — up to two clients ready for an expansion conversation who've been quiet a while
Acknowledged in the last 7 days — click to filter
Summary cards — active book gross profit, and a card per priority tier showing count and value. Click a tier card to filter to it.
The table, one row per client, sorted by gross profit:
Column group | What's in it |
Money | MGP, MRR, past-due AR, last month's VABO, and department gross profit when filtered |
Risk | Churn Risk, Profile Risk |
Growth | Readiness score, SE status, open opportunities, top recommendations |
Ownership | Account Director, Group Director, and the Status chip |
Priority | P1 — Act now · P2 — Plan this week · P3 — Healthy / Monitor |
Contract | Days to end, term type, rollover and early-out details |
Check-ins | Sentiment, pacing, week-over-week changes, GD review notes, whether the check-in and QBP were submitted |
A week selector for the check-in columns, and a Cardinal badge for clients from that acquisition.
Expand any row for the client panel — the churn detail, the expansion detail, check-in history, a retainer trend chart with churn and expansion events, POC contacts, Salesforce history, contracts, Brand Intel, notes and Asana tasks. The churn and expansion tabs are the same components as those standalone pages, so triage done here counts there and vice versa.
How to use it
Monday book review. Filter to yourself using the Account Director or Group Director dropdown. Read the "Your week" strip — call the top three P1 clients today, and look at the SE-ready picks for expansion conversations. Click the P1 card to isolate act-now clients, expand each, and log follow-ups as tasks or notes. The question this answers is: where do my limited hours go this week?
Accountability sweep (division leadership). Set the Status filter to Needs Review to list priority clients whose owner hasn't triaged anything, and Unassigned to catch high-risk clients with nobody on record. Then chase the owners. This is how you find out whether the retention playbook is actually being run.
Renewal radar. Filter contracts ending within 60 days and turn on the contract-detail columns to see rollover triggers, early-out dates and term types side by side. Which renewals need a plan started now, and which have imminent early-out exposure?
Check-in compliance and client mood. Pick the current week, sort by whether the check-in was submitted to find gaps, then filter on sentiment or pacing to find clients trending the wrong way. QBP columns link straight to the narrative and deck.
Department slice. Filter to a department, and a department gross-profit card plus a per-client department column appear automatically — each client's revenue in that department and its share of their whole book.
Export. Either the visible columns or every column, always respecting your filters. A Cardinal column is always appended.
What the status chip means
Chip | Meaning |
Acknowledged | The assigned AD or GD triaged every recommended action |
Reviewed | Someone other than the owner did |
Needs Review | Actions remain untriaged |
Unassigned | No AD or GD on record |
Needs Review and Unassigned only appear for the priority set — the top 25 clients by risk × gross profit among those scoring 0.5 or above. That's deliberate: unlimited red chips get ignored, so the nudges are restricted to where the money is.
No chip at all means the client has no generated actions or sits outside that set.
What you can change
The table is read-only. Everything happens in the expanded row.
GD Review Notes and week-over-week changes — edits the current week's check-in. Three conditions: the week selector must be on the current week, a check-in must already exist (otherwise you're linked to the submission form), and you must be the assigned AD, the GD, or a Pulse admin.
Client notes — shared with the Churn and Service Expansion pages.
Recommended action triage — in the embedded churn tab. This is what flips the status chip.
Asana tasks — creates a real task, linked to the client.
Brand Intel — a generated briefing with live web search, costing roughly 50 cents per fresh run, cached one per client per month. Re-opening within the month is free.
Column choices — saved to your browser only.
Loading the page also quietly syncs Account Director assignments from Nova, carefully enough that it never overwrites a more recent Manage Leads edit.
Good to know
Priority tiers are decided upstream. P1/P2/P3 comes from the data team's pipeline. The rules can change without any visible change to Signal, and a client with no tier shows as P3.
The "Why flagged" column is always empty. It's a retired feature — priority moved upstream and the old explanation chips were removed. It still appears in the column picker and exports blank.
Confirmed Churn MRR and Per-Client ETCR show a dash. They're placeholders waiting for the ETCR data feed. Not sortable, and they export empty.
Freshness is mixed on purpose. Check-in and QBP columns are read fresh every time. Client, risk and finance data comes from a short cache. So different columns can be a few minutes apart from each other.
The readiness score here differs slightly from Service Expansion. This page uses the live model score; that page uses the latest weekly snapshot. Both are correct — see Service Expansion.
A Gong sentiment of exactly 0.5 means "no data" and shows as a dash rather than a misleading neutral score.
The Account Director column layers two sources. A manual pick from Manage Leads wins; otherwise it falls back to Nova. Picks pointing at someone who's left are ignored.
Weeks are Monday-anchored, and the selector defaults to the most recent week with any check-in. Selecting a past week makes the note editors read-only.
The column set changes often, so don't build a habit around exact column positions.
Common questions
Why doesn't the revenue match finance? These are finance figures, but they arrive through a short cache and the underlying extract refreshes on the data team's schedule. A brand-new contract also shows $0 gross profit until Finance posts. If a specific number looks wrong, flag it in Corrections.
Why is a client missing? This page shows the active book only. A client classified as churned or inactive never reaches your browser. Also check your filters — an Account Director filter with no matches shows an explicit empty state.
What do P1, P2 and P3 mean, and who decides? Act now, plan this week, healthy. The data team's pipeline decides. No tier means P3.
What does the status chip mean? See the table above.
Why can't I edit the review notes? One of three reasons: you're looking at a past week; no check-in exists yet for this week; or you aren't the assigned AD or GD. If you believe you are, your assignment record is probably stale — fix it on Manage Leads.
Why is the Account Director different from Nova? A manual Manage Leads pick beats Nova. The background sync only pulls Nova's version in when it's genuinely newer. If it still looks wrong after an hour, update it in one of those two places.
Why is "Why flagged" always empty? Retired feature. See "Good to know".
Does Brand Intel cost money every time? Only the first time per client per month. After that you get the cached briefing free. There's also a daily limit per person.
Why does Gong Sentiment show a dash? Either no coverage, or a score of exactly 0.5, which is the "no data" convention.
What's the difference between the two CSV exports? One exports the visible columns, the other every defined column. Both respect your filters.
