Inviting and managing client users

Settings → External is where you give a client access to their own workspace: see their workspace address, invite their people, set roles, and remove access when someone leaves.

Note: The client workspace is rolling out gradually, so the External tab may not be visible for your team yet. If you don't see it in Settings, check with your account lead.

Before you invite anyone

An invite opens a real window into the account, so review what the client will see first:

  1. Open their signal board and confirm you're comfortable with every visible signal.

  2. Check the client's company info and standing instructions — clients can view these read-only.

  3. Agree with your account team on who at the client should get access, and who should be a Superuser.

Tip: You can preview the workspace exactly as the client will see it. Add /settings/external/preview/ plus the client's slug to your Omega address — you'll get the full client view with a banner reminding you it's only a preview.

Finding the page

Pick the client in the top-bar client picker, then go to Settings → External. You'll see the client's access only if you manage it — the page lists the Assigned team (internal teammates who manage this client's external access; admins manage every client). If you're told you don't manage the client, ask an admin to add you there.

The Workspace card shows the client's slug and their workspace address, with a copy button — this is the link their people use day to day.

Sending an invite

  1. In the External access card, enter the person's work email address.

  2. Choose a role: Member or Superuser (can invite others).

  3. Click invite. They receive a branded email — "You're invited to [client] on Omega" — with a sign-in link and a temporary password. If the email can't be delivered, you get the link back to copy and send yourself.

On first sign-in they enter their work email at the login page, use the temporary password, set a new password, and set up an authenticator app — the extra verification step is required for every client user. Then they land in their workspace.

Note: Invite work email addresses on the client's company domain — the login page routes people to their workspace by email domain, and unrecognized domains are refused. If a client's domain needs to be added, ask an admin.

Roles, and removing access

  • Member — the standard role: chat, signals, files.

  • Superuser — everything a Member has, plus the ability to invite and manage their own colleagues.

The Client users card lists everyone with active access. Change a role with the dropdown, or revoke access with the remove button. Pending invites appear in the External access card with their status (pending, claimed, or revoked) — revoke one and the link stops working.

Message limits

Each client user has a per-person message allowance in Chat — a short-term pace limit plus a monthly cap. When someone reaches the monthly cap, Omega tells them to ask their account team about raising it, so expect that conversation to come to you rather than to support.
